A transcript can be mostly correct and still give you a recurring editing job: a teammate's name, a product spelling, or an acronym that sounds like an ordinary word. Sonicribe's Words lets you keep useful terms and create replacements for phrases you repeatedly type.
The two jobs are related, but deserve separate setup. A vocabulary term provides a recognition hint. A replacement maps recognized wording to the text you want in the result. Neither removes the need to review an important name or link before sending a draft.
Add the smallest useful term
- Open Words.
- Enter a name, acronym, word, or short phrase in Input.
- Click Add to word list.
- Make a short recording that includes the term in a natural sentence.
- Check the output and correct any remaining error.
Start with terms you actually use, rather than importing a large glossary immediately. For example, adding a fictional project name such as “Northstar Kit” is easier to evaluate when you dictate “Send the Northstar Kit draft on Thursday” than when you speak a list of isolated words.
Create a predictable replacement
Use Replace with... to open Replacements. Enter the spoken or recognized wording in Replace, the desired text in With, and click Add Replacement.
An illustrative mapping could replace “snippet review” with “Please review the draft and leave your comments by Thursday.” Choose an unusual trigger so that ordinary conversation does not expand into an unwanted sentence. Check a replacement that contains a URL carefully; a correct trigger does not prove the destination is correct.
You can also edit an existing entry through Edit Words, which exposes Word, Replacement (optional), Group, and Active in styles. Leaving the optional replacement empty keeps the word as itself. Check both the entry's style assignment and the style's group selection: each can restrict which terms are included. Inspect both when a term works in one style but disappears in another.
Understand recognition limits
Cloud vocabulary hints are best effort. A request supports up to 32 terms, with a maximum of 64 UTF-8 bytes per term and 512 bytes for the complete serialized hint list. Bytes and visible characters differ, especially across languages. A saved vocabulary library can therefore contain more than the hints sent with a particular request.
Keep the relevant set concise and use groups to separate projects. If the same spelling error persists, check the active style assignments, reduce unrelated terms, and dictate the word in context. A replacement may help with a consistent recognized phrase; it cannot reliably repair every possible mishearing.
Review the finished draft
Scan names, acronyms, expanded snippets, and links before copying. If an expansion surprises you, edit or remove that mapping and test again with a small recording. Updating the vocabulary changes future processing; do not assume it retroactively repairs earlier text.
Use the Words instructions for the control reference. When your library grows, follow vocabulary groups and CSV to keep each style focused.
