START HERE

Before your first recording

  1. 1

    Account and connection

You need an Apple Silicon Mac, internet, and a Google account. Sign in under Settings → Account and check Plan & credits.

  2. 2

    Permissions and microphone

Allow macOS Microphone access and Accessibility for automatic paste. Check your input in Settings → Listening → Test mic.

  3. 3

    One short test

Set Exactly as spoken as Default style and check your recording shortcut (⇧ Z by default). Record one sentence into a plain text field, then review the result.

Today → Start listening uses the selected style. Shortcut recording checks a linked app, then a linked website, then Default style. Set those assignments for the destination where you write.

FEATURE INSTRUCTIONS

Record

Record and paste

Turn a short recording into text at the place you are already writing.

FIND ITToday → Start listening; Settings → Shortcuts

How to use it

  1. Check your assigned Record shortcut in Settings. In Styles, set Default style, or link the destination app/site to that style.
  2. Put the cursor in an editable field in the destination app and start with the shortcut. Today → Start listening uses the style selected in the app instead.
  3. Speak the text, then stop with the same shortcut or Stop Recording. Keep the intended destination ready while processing finishes.
  4. Review the inserted text. If automatic paste fails, open the result or Transcripts, copy it, and paste it yourself.

Defaults and limits

Allow Microphone access for recording and Accessibility access for automatic paste. Finish speaking, stop the recording, and review the completed draft in your destination app.

If it does not work as expected

If nothing records, check Settings → Listening → Test mic and macOS Microphone permission. For automatic paste, check Accessibility permission and try a plain editable field.

Exactly as spoken

Begin with a speech transcript when you want to do the writing edits yourself.

FIND ITStyles → Exactly as spoken → Voice

How to use it

  1. Select Exactly as spoken in Styles or the style switcher.
  2. In Voice, choose an available Speech transcription model.
  3. Open Rewrite and confirm that Text formatting is locked to No formatting.
  4. Record a short sentence, compare it with your spoken wording, and edit the result yourself.

Defaults and limits

Exactly as spoken skips the separate AI rewrite and keeps Text formatting at No formatting. Set Voice commands, word replacements, and Leave out ums and uhs to suit the wording you want to keep.

If it does not work as expected

If the result is heavily rewritten, confirm the active style is Exactly as spoken and check any enabled commands or vocabulary replacements. Correct names in Words rather than adding a formatting prompt to this style.

Speech and formatting models

Choose separately how speech becomes text and how that text is formatted.

FIND ITStyles → select a style → Voice / Rewrite; Models

How to use it

  1. Select the style you want to change in Styles.
  2. In Voice, choose an available Speech transcription model.
  3. In Rewrite, choose Text formatting or No formatting. Exactly as spoken keeps No formatting locked.
  4. Use a short sample to compare recognition and formatting. Open Models to review available choices.

Defaults and limits

Use Models to compare available services, credit rates, and speed and accuracy ratings. Choose speech recognition in Voice and the writing format in Rewrite. Keep a short sample for comparing your preferred choices.

If it does not work as expected

If a model is unavailable or a request fails, check internet, account status, and Plan & credits. Select an available model rather than trying to download a local model.

Speech recognition language

Tell the speech service which language you are speaking.

FIND ITSettings → Listening → Speech language

How to use it

  1. Open Settings → Listening → Speech language.
  2. Choose Auto-detect for changing languages, or select the language you mainly speak.
  3. Record a short sentence containing a name and number.
  4. Check recognition before adjusting formatting.

Defaults and limits

Choose your spoken language in Listening, or use Auto-detect for mixed-language dictation. A style’s Voice → Language setting takes priority for that style. Set menu language separately under Settings → Look → App language.

If it does not work as expected

If the wrong language is recognized, select your spoken language explicitly and try the same short sample. Return to Auto-detect when the recording genuinely mixes languages.

Record while processing

Start another recording while an earlier one is still being transcribed.

FIND ITSettings → Listening → Allow a new recording while processing

How to use it

  1. Open Settings → Listening and enable Allow a new recording while processing.
  2. Record and stop a short first segment.
  3. Start another segment while the first is processing.
  4. Wait for the outputs and review them in recording order. Keep destinations clear when changing focus between recordings.

Defaults and limits

Enable Allow a new recording while processing when you want to continue speaking while an earlier draft finishes. Keep each destination ready and review the results in order.

If it does not work as expected

If an earlier segment fails, read its error and review the saved results before continuing. Use Transcripts to recover available text. Turn the setting OFF if queued segments make your destination workflow confusing.

FEATURE INSTRUCTIONS

Shape your writing

Email style

Shape dictated facts into an email draft you can check before sending.

FIND ITStyles → Email → Rewrite

How to use it

  1. Select Email in Styles. In Rewrite, choose an available Text formatting model.
  2. Say the recipient or greeting only if you want it included, then state the message and requested action.
  3. Include dates, names, and any closing you actually want.
  4. Review the draft in the destination app before sending it yourself.

Defaults and limits

Say the recipient, request, names, dates, and sign-off you want in the email. Use Rewrite to keep the tone and structure consistent, then review the draft in your email app before sending.

If it does not work as expected

If a required detail is missing, say it explicitly or edit the draft. If the tone needs changing, use a short style rule rather than assuming the app reads the email thread.

Message style

Make a readable personal message from what you say.

FIND ITStyles → Message → Rewrite

How to use it

  1. Select Message in Styles. In Rewrite, choose an available Text formatting model.
  2. Dictate the message in your normal voice, including the request or answer.
  3. State any name, time, or greeting that matters.
  4. Check that the result keeps your meaning, then send it from your messaging app.

Defaults and limits

Dictate your message with the context, greeting, and timing that matter. Keep the tone natural and review the draft in your messaging app before sending it.

If it does not work as expected

If a casual phrase becomes too formal, add a brief rule to preserve your tone. For a context-dependent answer, say the relevant context in the recording.

Work message style

Prepare a work update with clear facts, an owner, and a next step.

FIND ITStyles → Work message → Rewrite

How to use it

  1. Select Work message in Styles. In Rewrite, choose an available Text formatting model.
  2. Say the current status, relevant facts, and the next action.
  3. Name the owner and deadline only when you know them.
  4. Review names, dates, commitments, and tone before posting the update yourself.

Defaults and limits

Say the status, relevant facts, owner, and next step. For recurring headings such as Status, Blocker, and Next, save a concise rule in Rewrite.

If it does not work as expected

If the update sounds vague, dictate the concrete change and next step. Use Custom rules when your team needs recurring headings such as Status, Blocker, Next.

Comment reply style

Turn your intended response into a comment draft.

FIND ITStyles → Comment reply → Rewrite

How to use it

  1. Select Comment reply in Styles. In Rewrite, choose an available Text formatting model.
  2. Read the original comment yourself, then dictate the answer you want to give.
  3. Include any context needed to make your answer understandable.
  4. Check accuracy and tone before posting from the website or app.

Defaults and limits

Read the original comment, then dictate your response and any context it needs. Keep names and handles explicit and review the reply before posting.

If it does not work as expected

If a reply assumes the wrong context, remove the assumption and dictate the facts. Name the point you are answering rather than saying only “reply to that.”

Short post style

Capture one idea as a short post draft.

FIND ITStyles → Short post → Rewrite

How to use it

  1. Select Short post in Styles. In Rewrite, choose an available Text formatting model.
  2. Dictate the point, useful detail, and any ending you want.
  3. Specify a length or style in your rules when you need a particular format.
  4. Check the final text and the destination platform’s length limit before posting yourself.

Defaults and limits

Dictate one idea, the detail that supports it, and your preferred ending. Save length and tone preferences in Rewrite, then review the post in its destination.

If it does not work as expected

If the draft is too long, trim the idea or set a concise rule. Keep the main point clear and review the names, numbers, and facts before posting.

Vibe coding style

Dictate a clearer request for a coding assistant.

FIND ITStyles → Vibe coding → Rewrite

How to use it

  1. Select Vibe coding in Styles. In Rewrite, choose an available Text formatting model.
  2. Explain the current behavior, desired change, and constraints.
  3. Say exact identifiers, filenames, and acceptance criteria when they matter.
  4. Review the prompt, then paste it into your coding tool and submit it yourself.

Defaults and limits

Describe the goal, requested changes, requirements, and constraints. The style organizes your spoken brief so you can bring it into your coding tool with the important details together.

If it does not work as expected

If a request is ambiguous, add one concrete before/after example. Put frequently misrecognized product or identifier spellings in Words.

Math notation style

Write spoken mathematical expressions as notation for review.

FIND ITStyles → Math → Rewrite

How to use it

  1. Select Math in Styles. In Rewrite, choose an available Text formatting model.
  2. Say the expression, identifying addition, subtraction, multiplication, division, equality, decimals, percent signs, and parentheses clearly.
  3. Stop and inspect the resulting notation in the text output.
  4. Correct grouping or symbols before moving the expression into a document or calculator.

Defaults and limits

Say mathematical expressions clearly, including variables, operators, and grouping. Review the resulting notation in the app where you will use it, then adjust the text to the presentation you need.

If it does not work as expected

If grouping is wrong, dictate the parentheses and scope explicitly or edit the notation. Check every minus sign, operator, number, and variable.

Clean prose

Polish dictated prose while keeping the content and voice you supplied.

FIND ITStyles → Clean prose → Rewrite

How to use it

  1. Select Clean prose in Styles. For shortcut recording, set it as Default style or link the destination under Where.
  2. In Rewrite, choose an available Text formatting model. No formatting skips AI cleanup.
  3. Choose Formal, Casual, or Professional under Output format. Adjust Cleanup rules and Your rules only as needed.
  4. Record a short sample and check names, facts, qualifications, and tone.

Defaults and limits

Choose the tone and cleanup rules for Clean prose in Rewrite. Keep names, facts, dates, and qualifications in your dictation, then review the polished paragraph in context.

If it does not work as expected

If no polishing occurs, check the Text formatting model and the style used for that recording. If tone changes too much, try another style or use Exactly as spoken for editing yourself.

Coding Prompt style

Format the coding content you dictate with the existing programming-language controls.

FIND ITStyles → Coding Prompt → Rewrite

How to use it

  1. Select Coding Prompt in Styles. Set Default style or Where links for shortcut recording.
  2. Open Rewrite and choose an available Text formatting model.
  3. Under Output format, review Language, Include comments, Format Style, and Code Blocks.
  4. Dictate requirements, inspect identifiers and logic, then copy the draft into your coding tool.

Defaults and limits

Choose the programming language, comment format, and code-block preferences in Rewrite. Dictate the identifiers and behavior you want, then review the draft in your development environment.

If it does not work as expected

If code-like output is wrong, select the programming language explicitly and clarify the identifiers. If formatting is absent, check the formatter and the style used. Validate any code in your own development workflow.

Custom styles and formatting rules

Save a repeatable format for notes, updates, or another writing task.

FIND ITStyles → New style; select a style → Rewrite

How to use it

  1. Open Styles → New style. Review Template, Style name, Description, and Speech transcription, then create the style.
  2. Select the style and open Rewrite. Choose Text formatting and enter a focused Prompt or Your instructions. Save where shown.
  3. Use Cleanup rules only for the changes you want: Numbered lists, Money as $6,000, Numbers as digits, and Your rules.
  4. Use a template… to review a template before saving. Keep a copy of important rules before Reset to default.
  5. For shortcut recording, set Default style or add links under Where. Test a short sample.

Defaults and limits

Create a named style, choose a Text formatting model, and save the headings, tone, and constraints in Your instructions. A short example helps you refine a format you will reuse.

If it does not work as expected

If the result invents details, tighten the rule to use only spoken facts. If rules cannot save, remove the indicated words or shorten a long word. Keep a copy of important custom instructions before resetting or deleting a style.

FEATURE INSTRUCTIONS

Make it yours

Voice commands

Turn a spoken phrase into punctuation, a line break, or saved text.

FIND ITVoice commands; Styles → select a style → Voice → Voice commands

How to use it

  1. Open Voice commands. Use Language to view phrases; each row switch controls all phrases for that command.
  2. Use Add command or edit a command. Enter Result and a phrase, choose its language, then Save.
  3. Use Try a command with a typed sample to preview the transformation.
  4. Open Styles → your style → Voice and enable Voice commands. Test a short recording.

Defaults and limits

Enable Voice commands for the styles where you want spoken phrases to become text changes. Manage aliases and custom replacements in Voice commands and try a short sample before using a new phrase in a longer draft.

If it does not work as expected

If a phrase stays as words, check both switches and its language. If ordinary wording turns into a command, use the literal escape, disable that row, or choose a more distinctive phrase.

Global filler removal

Choose one app-wide setting for removing sounds such as um, uh, and hmm.

FIND ITSettings → Listening → Leave out ums and uhs

How to use it

  1. Open Settings → Listening.
  2. Enable Leave out ums and uhs if you want filler cleanup.
  3. Compare a short recording with the switch off and on.
  4. Keep the setting that best preserves your wording.

Defaults and limits

Use Leave out ums and uhs in Listening to remove common hesitation sounds. Compare a sentence with the setting on and off, then keep the option that fits your own wording.

If it does not work as expected

If intentional sounds or wording disappear, turn the switch OFF and use Exactly as spoken. Check any custom prompt as well, since its own instructions may request cleanup.

Words and replacements

Add spelling hints or map a recognized phrase to text you use often.

FIND ITWords → New word or sentence / Replace with...

How to use it

  1. Open Words. Enter a name or phrase in New word or sentence, then choose Add to word list.
  2. For a substitution, open Replace with... and fill in Replace and With.
  3. Save the replacement, then dictate a sentence containing the phrase.
  4. Check whether spelling improved and only the intended text changed.

Defaults and limits

Keep recurring names and terms in Words. Add a spelling hint or use Replace with... for a deliberate text swap. Review a short sentence with the new entry, then organize useful terms into groups.

If it does not work as expected

If a name is still wrong, use a clear sample and check the selected vocabulary groups for the style. If a common phrase is replaced unintentionally, make the trigger more specific or remove that replacement.

Word groups and CSV

Organize related words and export a simple vocabulary backup.

FIND ITWords → New group / Import CSV / Export CSV; Styles → select a style → Voice → Word groups

How to use it

  1. Create a New group and move the relevant words into it. Use Command-click or Shift-click for multiple selections, then Move to group.
  2. In Styles, select a style and open Voice → Word groups. Leaving all unchecked uses every word.
  3. Use Export CSV to save the current word and replacement pairs.
  4. For Import CSV, use a file with word, replacement columns. Import a small sample first, then check the entries.

Defaults and limits

Choose relevant Word groups in each style’s Voice section. With every group unchecked, all words apply. Import CSV and Export CSV move word/replacement pairs; organize the imported entries into the groups you need.

If it does not work as expected

If an imported replacement did not change an existing word, edit that entry directly. If a group appears unused, check the active style’s selected groups and spelling-hint limit notice.

Automatic app and website styles

Use a style automatically when you record from a linked app or website.

FIND ITStyles → select a style → Where → Linked apps / Linked websites

How to use it

  1. In Styles, select the style for a destination and open Where.
  2. Use Add app under Linked apps or Add website under Linked websites.
  3. Choose Default style in Styles for destinations without a match.
  4. Focus the destination and record a short sample with the shortcut. Check the resulting format.

Defaults and limits

Global recording checks a linked app, then a linked website, then Default style. Today → Start listening uses the selected style. Save Where assignments for the places where you regularly write.

If it does not work as expected

If the default style is used, check the link, active app, browser permissions, and domain spelling. Remove conflicting app links that take priority over URL links. For manual testing, select the style and use Today → Start listening.

FEATURE INSTRUCTIONS

Review and reuse

Transcripts, search, and local statistics

Find a past transcription and reuse text without recording it again.

FIND ITTranscripts → Search transcripts; Today → Set typing pace

How to use it

  1. Open Transcripts while signed into the account associated with this Mac’s local data.
  2. Search for a phrase; Command-F focuses search. Click a card to copy its displayed text.
  3. Use Load more for additional entries. To remove an entry, choose Delete transcription and confirm only after checking the card.
  4. On Today, check the time-saved trend. Use Set typing pace to set a personal comparison baseline.

Defaults and limits

Transcripts keeps saved drafts on this Mac. Search a distinctive phrase to find text you want to reuse. Today’s time-saved estimate uses your typing pace; set that pace to make the estimate useful for your routine.

If it does not work as expected

If history is unavailable, check that you are signed into the associated account. If a search is empty, clear it and inspect recent entries. Another device’s history will not appear through cloud usage sharing.

Edit, copy, and export

Correct a result and take the text into another tool.

FIND ITToday → Transcription result

How to use it

  1. Click the result text to edit it. Make a small correction and move focus away to save.
  2. Use Copy transcription to clipboard for the displayed result.
  3. Use Export transcription to file. The save dialog offers Text Files (.txt) and Markdown (.md); the suggested filename ends in .txt.
  4. Choose the save location, then open the file to check the text. Older saved text can be copied from a Transcripts card.

Defaults and limits

Open a saved result to review and edit it, then copy the text you want to reuse. Keep names, numbers, and formatting clear in the destination document.

If it does not work as expected

If an edit did not save, copy the corrected text before closing the result. If saving fails, use Copy and paste into a text editor, then save there.

FEATURE INSTRUCTIONS

App settings

Keyboard shortcuts

Set recording and style-switching keys that fit your other apps.

FIND ITSettings → Shortcuts

How to use it

  1. Read the currently assigned Record shortcut, Discard recording, and Change style keys.
  2. Click a shortcut, enter your preferred combination, and check the feedback.
  3. Try start and stop in a plain text field. Test Change style separately.
  4. Use Reset only when you want the UI’s reset assignments, then read the resulting keys again.

Defaults and limits

Set Record shortcut, Discard recording, and Change style in Shortcuts. The recording default is ⇧ Z. Give each action a comfortable combination and try it in an editable field.

If it does not work as expected

If a key does not work, choose a less-used combination and check macOS permissions. If Reset changed behavior, return to this page and use the displayed assignments.

Microphone, trimming, and sounds

Choose the right input and check sound before a longer recording.

FIND ITSettings → Listening → Input device / Test mic; Settings → Audio → Chimes

How to use it

  1. Before recording, open Settings → Listening → Input device and choose your microphone.
  2. Use Test mic and check that the meter reacts to your voice.
  3. Review Trim quiet pauses in Listening. Compare a short sample before keeping it enabled.
  4. Open Settings → Audio for Start and stop chimes and Volume. Sound settings and Privacy in Listening open macOS settings.

Defaults and limits

Choose Input device and use Test mic in Listening. Trim quiet pauses removes quiet spans before processing. Set Start and stop chimes and Volume in Audio for comfortable recording cues.

If it does not work as expected

If the meter stays still, check the selected input, hardware connection, and macOS Microphone permission. If quiet speech is cut, turn trimming OFF and make another short sample.

Account, credits, and billing

Check the account and shared allowance used for cloud processing.

FIND ITSettings → Account → Plan & credits; Settings → Plans

How to use it

  1. Use Continue with Google and confirm the account shown when you return to the app. Refresh account checks account status; Sign out locks access to this account’s local history and vocabulary.
  2. Read Plan & credits and use Refresh usage when you need an updated view.
  3. Compare the displayed plan and allowance before choosing Subscribe to Pro or Subscribe to Max.
  4. Use Manage billing for your subscription, cancellation, and billing details. Confirm any purchase in the checkout yourself.

Defaults and limits

Use Settings → Account for sign-in and Plan & credits. Speech and optional rewriting draw from shared credits. Check Settings → Plans to compare Free, Pro, and Max for the amount you dictate.

If it does not work as expected

At zero credits, recording pauses until allowance is available. If usage is unavailable, check sign-in and internet, then refresh. Do not treat a missing usage display as free or unlimited processing.

Interface and recording appearance

Choose a readable interface and a recording window you recognize.

FIND ITSettings → Look → App language / Waveform color; Settings → Listening window

How to use it

  1. Open Settings → Look → App language to change menus and messages.
  2. Use the sidebar theme button to choose light or dark appearance.
  3. In Look, choose Waveform color or a custom color.
  4. Open Settings → Listening window. Choose a style and use Preview before your next recording.

Defaults and limits

Choose menu language and Waveform color in Look. Select a Simple design or a Character in Listening window and use Preview to see it before your next recording.

If it does not work as expected

If speech is recognized in the wrong language, use Speech language rather than App language. If a style is hard to see, preview another style or adjust the waveform color.

Startup, updates, and help

Control login startup, check for updates, and revisit the walkthrough.

FIND ITSettings → Shortcuts → Application / Help

How to use it

  1. Open Settings → Shortcuts → Application. Enable Launch on login if you want Sonicribe to start with macOS.
